Paper cup material FIFO control helps prevent an older released lot from remaining unused while newer board, blanks, bottom reels or packing materials enter production. Date order alone is insufficient when a lot is on hold, reserved for a customer or affected by storage restrictions.
This guide covers material selection and evidence at warehouse-to-production issue. It does not define shelf life or storage limits; use approved supplier data, specifications and local procedures.

Decision worksheet
| Control point | Evidence to retain | Decision status |
|---|---|---|
| Define the eligible stock queue | Record receipt date, release date, location, quantity and restriction status before ranking eligible stock | Verified, held or escalated |
| Select the oldest eligible lot | Retain the system pick reference and the actual reel, pallet or carton identity issued | Verified, held or escalated |
| Control FIFO exceptions | Link the exception to customer allocation, trial need, accessibility, condition or another verified constraint | Verified, held or escalated |
| Verify production receipt | Return residual material with its original identity, remaining quantity and status intact | Verified, held or escalated |
| Review ageing and repeat exceptions | Assign action for inaccessible, blocked or deteriorating stock and verify the inventory correction | Verified, held or escalated |
Define the eligible stock queue
Identify released lots for the exact material code, specification, customer and production order. Before the check starts, mark the order or shipment boundary and the person accountable for the result. Base the decision on the approved transaction, label and specification set that actually governs this movement. Record receipt date, release date, location, quantity and restriction status before ranking eligible stock. Write down what was seen at the location, including identities, counts and timing, while the evidence is still available.
Exclude held, expired, damaged or reserved stock and document why it is not available. An unresolved discrepancy remains a blocked condition. Route it to the role that can approve disposition, then revisit the material and its electronic record to demonstrate that the chosen action was completed.
Select the oldest eligible lot
Follow the item through its real warehouse or production path. Compare the warehouse queue with physical labels and confirm the selected lot is the oldest usable stock. Note the point where the record is created, the next user of that record and the physical unit to which it applies. Retain the system pick reference and the actual reel, pallet or carton identity issued. Test the entry against the reel, carton, pallet, container or machine-side item instead of reviewing the screen alone.
Stop the issue when the system sequence conflicts with the physical location or label. When the connection cannot be proven, define the affected lots and prevent their next transaction. Corrections should retain the earlier entry, the reason for change and the evidence that the floor condition now matches the authorized record.
Control FIFO exceptions
Convert the requirement into an observable check. Require a reason and authorized approval when a newer lot must be used first. Specify the item, place, source document and reviewer so another qualified person can repeat the decision. Link the exception to customer allocation, trial need, accessibility, condition or another verified constraint. Store supporting images, count sheets or system extracts under the same batch or shipment reference.
Do not use a general note such as urgent production without identifying the affected older lot. Evaluate whether the difference could extend to material already issued, packed or dispatched. Keep the original finding alongside the response and final verification, creating a usable chronology rather than a cleaned-up final form with no history.
Verify production receipt
Control the transfer at both sides of the boundary. Confirm the receiving line records the same item, lot and quantity and protects traceability after partial use. The releasing person should identify what is moving and the receiving person should confirm quantity, lot, location and current permission to use it. Return residual material with its original identity, remaining quantity and status intact. Any adjustment made between the two confirmations needs a traceable transaction and named authority.
Segregate unidentified remnants instead of assigning the nearest convenient lot number. Put incomplete or conflicting units in an identified exception area. Once the record is repaired, inspect the destination stock directly and document the final count and status before normal movement resumes.
Review ageing and repeat exceptions
A useful review combines physical observation with record reconciliation. Trend lots repeatedly bypassed and compare physical stock with the eligible queue. Start from the selected lot, pallet, container or production period and trace every related entry that changes quantity or status. Assign action for inaccessible, blocked or deteriorating stock and verify the inventory correction. State the sampling basis and show all unit conversions used to compare the sources.
Escalate systemic FIFO failures before they create obsolete material or unexplained variance. Never create an unsupported adjustment merely to make totals agree. Record the difference, investigate its process point, authorize the eventual correction and use a later check to confirm that the underlying control now works during routine operations.

Frequently asked questions
Does FIFO mean the earliest receipt date always wins?
Use the oldest eligible released lot after customer, condition and restriction checks.
How should a FIFO exception be recorded?
Identify both the selected and bypassed lots, the reason, approval and production order.
What happens to a partial reel?
Return it with controlled lot identity, remaining quantity and current status.
Can held material remain in the FIFO queue?
It may remain visible, but it must be excluded from issue until formally released.
