Identify the machine beyond its model name

Record the model, quantity, intended cup application and all selected options. If the supplier uses one model name for several configurations, list the actual systems included. Attach the approved quotation revision and state which document takes priority if information conflicts.

Freeze the cup and material reference

Attach controlled cup drawings or approved samples and identify top diameter, bottom diameter, height and other dimensions needed by the supplier. Record the paper structure, coating information and source of material for testing. Do not assume one sample represents every planned SKU.

List inclusions, options and exclusions

Record performance assumptions carefully

State the product, material, test period, accepted-output definition and planned inspection method behind any performance criterion. Rated speed, machine counter output and saleable packed cups are not automatically the same value.

Define utilities and the site interface

Record voltage, frequency, phase, compressed-air requirements and any agreed environmental conditions for the confirmed configuration. Identify who supplies cables, air piping, isolation points, foundations, lifting equipment and consumables.

Reference the latest approved layout. Changes in machine orientation, auxiliaries or access space should trigger a drawing review before the buyer completes site work.

Make FAT and SAT measurable

The annex should state which tests occur at the supplier, which are repeated after installation and which materials the buyer must provide. Define how defects, downtime, samples and open items are recorded. Avoid broad wording such as “machine runs normally” without an agreed evidence set.

Specify the document and training package

List manuals, layouts, electrical or pneumatic information, maintenance plans, tooling lists, spare-parts references and acceptance records. State required language, format, revision status and delivery milestone.

The technical documentation checklist provides a detailed handover register. Training scope should identify audience, location, language, topics and evidence of attendance.

Assign delivery, installation and commissioning roles

Clarify packing standard, shipping boundary, unloading, internal movement, positioning, connections, startup materials and commissioning support. Commercial Incoterms should be aligned with the technical responsibility table, but reviewed by qualified trade advisers.

Record what completion evidence is required at each stage and who signs it. A machine arriving at the site does not automatically mean the installation or acceptance scope is complete.

Control changes and deviations

Define who may approve technical changes, how cost or schedule effects are recorded and which documents must be revised. A substitute component or changed cup drawing should not enter the project through an informal message alone.

Keep an open-item register with description, owner, due date, temporary restriction and closure evidence. Both parties should sign the final annex and every approved revision.
